Title: DEPUTY CLERK

Department: CLERK’S OFFICE
Appointment: This is a regular, full time (40 hours per week), non-exempt, Union (Local 792 CH) position.
SUPERVISOR RELATIONSHIP:

The Deputy Clerk reports to the Clerk of the Clerk’s Office, and maintains close working relationships with administrative and other personnel, public agencies, and the general public. This position works under the guidance of State and Federal regulation, and County policies and procedures.

JOB SUMMARY:

The Deputy Clerk position is responsible for greeting the public, attorneys, and judges in person or by phone, and entering data into the SCOMIS computer system. The person in this position also assists in maintaining the daily court calendar and for setting up hearing dates for Monday morning motions.

ESSENTIAL FUNCTIONS:

32% Enter all court documents and information on the SCOMIS computer system

  • Sort, review, code, and enter all court information in to computer to be stored in Olympia.
  • Review and record each document on the docket, charge and sentencing screens.
  • Record disposition of each case on computer when case is closed.
  • Sort documents into filing, microfilming, title company, or newspaper categories.

29% Daily walk-in business by public, attorneys, judges and other County departmental personnel

  • Assist attorneys and clients with filings, court dates, and location of courtrooms.
  • Collect money and/or documents from attorneys and public for passports, filing fees, criminal payments, etc.
  • Record all criminal and juvenile payments in file on payment sheets.
  • Write letters and notices to attorneys, and general public.
  • Mark all documents brought in and send those to the Judge that require his signature.
  • Operate cash register for money taken in and code each transaction with correct transaction code.

27% Answer in-coming telephone calls and correspondence

  • Answer questions about court calendar, filed information, court hearings, and where to get legal information.
  • Check criminal and civil files for record checks for companies and Armed Forces.
  • Respond to inquiries with letters, memorandums, and notices when necessary.

OTHER FUNCTIONS:

  • Regularly assigns, instructs, and reviews the work of one employee – 5%.
  • Opening and closing cash register on a scheduled basis – 3%.
  • Back-up support for recording and mailing child support payments – 2%.
  • Creating files and payment sheets for criminal file. – 2%.

MINIMUM QUALIFICATIONS:

  • High School diploma or GED AND one (1) year of full-time related work experience.

PREFERRED QUALIFICATIONS:

  • Previous legal experience.
  • Experience with word processing and/or database software.

WORKING CONDITIONS:

The person in this position will be required to work in an office setting with periods of standing, sitting, and kneeling. Work hours are standard with some weekend and evening work as needed. Regular attendance is required.
